Commercial Tenant Welcome Letter

Providing new commercial tenants with a simple, but thoughtful, welcome package helps set the tone for the future. It shows that you are a considerate property manager who cares about the property and the tenants occupying the premises. The tenant welcome letter should at a minimum contain information about property management contacts, rent payments, insurance requirements, and procedures for maintenance requests.

Property Management Contacts:

Contact any one of the management team members for any property management issue at the phone number or email address listed. Office hours are Monday through Friday from 8:30 a.m. to 5:00 p.m. Capital Retail employs a team of professionals dedicated to the comfort, efficiency, and aesthetic appeal of the buildings they manage. The following individuals make up the property management staff:

Tenant Resource Service Portal:

One login. One location for tenants to access online services and for Capital Retail to share important information. Everything Tenants need is located in the Tenant Resource Service Portal including building service requests, maintenance scheduling, tenant handbook, and related building documents.

Paying Rent:

Rent is due on the 1st of each month and is considered late at Noon (12:00 PM) on the 5th. Please note this timeline includes weekends and holidays. Tenant’s can choose the most convenient way to generate payments by going to the Capital Retail Group online payment center. Customers can make one-time payments without enrolling in the system. Enrolled customers can future date their payments or can set up recurring payments. At no charge, rent can be paid by ACH using a bank account. Tenant’s may also pay by credit card for a fee.  Rent can be paid by mail, but it must be physically received in the office by Noon (12:00 PM) on the 5th. Insurance:

All tenants of the Landlord must have a valid Certificate of Insurance on file with the Property management office. Ensure the certificate is completed in accordance with the information and limits of liability stated within the lease.

Pest Management:

Capital Retail currently contracts through Orkin for the elimination of pest from the campus. Orkin takes care of the exterior of the buildings, but your help is critical to prevent pests from entering the buildings.  By keeping food in sealed containers, not over-watering plants and reporting any pests immediately, you can keep these pests away.
